Why do I have to reduce the size of my document in the first place?

What goes up must come down! When uploading smaller files, it is much easier for Captains in remote places/with weak Internet connections to download your files! Anything larger than 500kbs in size can crash an email system or cause lengthy delays in his/her hiring process. Captains ask for smaller files; we adhere.

The easiest way is to use an online conversion service. This is just a website that will reduce your PDF for you. Several options come up where we’ve used this one frequently: http://smallpdf.com/compress-pdf

If you use this site, choose your file and it should upload and compress automatically. Once compressed, it will tell you the new, compressed file size and you are free to download this now. If you are not happy with the new size (still over 500kbs?), download the document and try again with your newly-compressed file. It may compress it even further to meet our and many other website file-size demands.

Again the easiest way is to use an online conversion service - a website that will reduce your jpg/jpeg for you. Several options appear and we like this one: http://compressjpeg.com/

Follow the instructions on the page – upload your file, compress and download again. Not happy with the new size? Save the new file and try compressing it again, even further.

Reduce my Doc/Docx

It’s likely your head & shoulders picture. Quite often, the document isn’t the issue here, it’s your picture.

  • Do not cut and paste to add your image to a Word doc. This can come over as a bitmap file, where file sizes can be astounding. Instead, go to Insert and select Picture.
  • If your picture file is too large, take your picture file, which is more than likely a jpg or a jpeg, and follow the directions to reduce a jpeg/jpg, listed above. Or right-click on the image in the Word doc and choose Format Picture. Under the Picture tab you should be able to Compress. Unsure if this works in Word 2010, however. Once reduced, reinsert it in to your resume and save. Now check your file size.

Your document is simply too long. Keep to the general 2-page length rule and you should be fine. Captains, Culinary Chefs and sometimes Officers can have longer resumes. Keep your formatting simple and your images small and you should be fine.
